This policy explains what Certified Safe LLC (“we,” “us,” “our”) collects when you use our website or request a quote, how we use it, who we share it with, and the choices you have.

1. Who we are

Certified Safe LLC is a Massachusetts cleaning and restoration company serving Greater Boston, Suffolk County, Essex County, and the Merrimack Valley. This policy applies to certifiedsafe.co and the services we deliver on site.

2. What we collect

Information you give us

When you request a quote, call, text, WhatsApp, or email us, you may share:

  • Contact details — name, phone number, email address.
  • Service details — service you’re interested in, service address or town, property type, notes describing the job.
  • Photos or media you send us to help scope the work.
  • Payment information processed by third-party processors (we do not store full card numbers on our systems).

Information collected automatically

When you visit the site, standard web logs may record:

  • Your IP address, browser type and version, device type, operating system.
  • The page you came from, pages you viewed, and timestamps.
  • Form submission metadata (required by our hosting provider to detect spam).

We do not collect

  • Social Security numbers, driver’s license numbers, or government IDs.
  • Biometric or health information.
  • Precise geolocation beyond what’s inferred from your IP.

3. How we use your information

We use the information to:

  • Respond to your quote request and follow up on leads you initiate.
  • Schedule, perform, and invoice cleaning and restoration services.
  • Answer questions, handle complaints, and provide warranty follow-up.
  • Keep records required by Massachusetts tax, accounting, and insurance rules.
  • Detect fraud, abuse, or security threats to the site.
  • Improve the content and usability of the website.

We do not sell your personal information, and we do not use it for third-party advertising.

4. Who we share it with

We share information only with providers and parties that need it to deliver the service:

  • Hosting & forms — Netlify (website hosting and form submissions).
  • Communications — phone, SMS, WhatsApp, and email providers that carry messages between you and us.
  • Payments — card processors and invoicing tools (e.g., Stripe) that handle payment data under their own policies.
  • Insurance & accounting — our insurer, accountant, or attorney, when they need specific records to serve us.
  • Legal — when required by law, a subpoena, or to protect our rights, your safety, or the safety of others.

Each provider is bound by its own terms and is required to handle information only on our behalf.

5. SMS / text messaging

When you actively opt in by checking the SMS consent box on our quote form, you agree to receive text messages from Certified Safe LLC at the phone number you provide.

What we send

  • Quote follow-ups — questions, scheduling, and pricing about the service request you submitted.
  • Appointment confirmations and reminders — date, time, and crew arrival details.
  • Post-service follow-up — quality check, warranty notes, invoice or payment links.

We do not use SMS for promotional or marketing campaigns to people who have not requested a quote.

How to opt in

Opt-in is active and explicit: you must check the SMS consent box on our quote form at certifiedsafe.co/#sms-opt-in. The box is never pre-checked. You can also start an SMS thread by texting our toll-free number, which is treated as your opt-in for that conversation.

Frequency & rates

Message frequency varies based on your service request and the stage of the job. Message and data rates may apply. Rates are set by your mobile carrier — Certified Safe LLC does not bill you for messages.

How to opt out

Reply STOP to any text from us at any time and we will stop sending you SMS messages. Reply HELP for help. You can also email certifiedsafellc@gmail.com or call (855) 723-3808 to be removed from SMS.

No sharing of mobile information

Mobile information — including your phone number and SMS opt-in status — will not be shared with third parties or affiliates for marketing or promotional purposes. The communications providers that carry messages between you and us (e.g., our toll-free SMS provider) process your number only to deliver the messages and are bound by their own terms.

6. Cookies and tracking

Our website uses only the cookies needed to detect spam on the quote form and keep the site working. We do not run advertising pixels or third-party tracking scripts on this site today. If we add analytics or advertising tools in the future, we’ll update our Cookie Policy and, where required, ask for your consent.

Links to WhatsApp, Instagram, and phone/SMS apps will open those apps or sites and fall under their own privacy practices.

6. How long we keep it

  • Quote requests — up to 24 months from your last contact, unless you become a customer.
  • Customer records — kept for the minimum period required by Massachusetts tax, insurance, and accounting rules (typically 7 years).
  • Web logs — retained by our hosting provider under their standard retention schedule.

8. Your rights and choices

You can at any time:

  • Ask us what information we hold about you.
  • Ask us to correct or update that information.
  • Ask us to delete it, subject to records we must keep by law.
  • Opt out of marketing messages by replying “STOP” to SMS or asking us to remove you from follow-up.

California residents: you have additional rights under the CCPA/CPRA, including the right to know, delete, correct, and limit the use of sensitive personal information. We do not sell or share personal information as those terms are defined under California law.

9. Security

We use reasonable administrative and technical safeguards to protect the information you share with us. No internet or storage system is completely secure, so we can’t guarantee absolute security — but we design the site and our workflow to limit collection to what we actually need.

10. Children

Our services are directed to adults. We do not knowingly collect personal information from children under 13. If you believe a child has submitted information, contact us and we’ll delete it.

11. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows the most recent change. Material changes will be highlighted on the site.
